Numbered Setup through generate, Pack leftovers and Hail Mary, coach rosters, live scores from phones, one public Event page, printables — plus rest windows, same-time exclusions, sport profiles, and Suite links when you need the rest.

Numbered Setup steps 1–7

One Setup tab walks directors from competition details through generate — no sidebar scavenger hunt. Staff can see the whole path before they scroll.

  • Step 1 — Competition details: season or tournament options, rest windows, dates, and game length.
  • Step 2 — Upload teams: import from TazForm or another registration platform, use the downloadable template, or enter teams manually.
  • Step 3 — Court & field import: download the venue template, fill Week / Date / Day / Venue / Field / times, then upload.
  • Step 4 — Venue addresses: street addresses on the public Event page and match labels.
  • Step 5 — Tournament logo: PNG, JPEG, WebP, or GIF for the public page and printable schedules.
  • Step 6 — Spectator links: optional TazTix and TazCart URLs — leave blank to hide Buy Tickets or Shop.
  • Step 7 — Generate: place games against rest, blackouts, coaches, same-time exclusions, and venue priorities, then open Schedule.

After generate: seat, polish, share

When generate leaves leftovers — or when the slate is full — the Schedule tab has a clear ladder from packing to live scores.

  • Pack leftovers

    Fill open slots while honoring hard constraints. First pass when some games were not slated.

  • Hail Mary

    Deeper pass if Pack still leaves games. May bend max rest only; min rest and blackouts stay hard. Tournament matchups stay locked.

  • Place by hand on Court Grid

    About 99% of the time Pack and Hail Mary seat everything. For rare leftovers, drag onto Available cells and pin games you want to keep.

  • Optimize with AI

    When every game is slated, AI analyzes the schedule and applies safe improvements — only after the slate is full.

  • Export — Event page and printables

    Copy the public Event page link, download HTG CSV/Excel and Exposure layouts, division PDF, venue gate handout, per-court wall sheets, and blank scoresheets.

  • Site Director Scores Portal

    Invite link for phones, iPads, and tablets. Directors sort by venue / date / court / time, tap Add score, and live results hit the Event page.

Coach portal with roster management

Publish one invite link. Coaches create a login, claim team(s), accept the team waiver, and submit staff plus roster — then pull into admin and export contacts.

  • Publish the coach portal and copy the invite link for every coach on the event.
  • Coaches create a login (same pattern as the scores portal), then claim one or more teams — first claim wins.
  • Accept the team participation waiver before submitting roster and staff.
  • Enter head coach, optional assistant coach, and optional scorekeeper with name / phone / email.
  • Build the roster with jersey numbers and parent contacts (name, phone, email).
  • Directors Pull into admin so scoresheets and the competition slate use submitted rosters.
  • Export roster contacts as CSV or Excel for binders, group texts, and check-in.

Site Director Scores Portal

Venue directors never need your admin login. They sign in on a phone, sort the slate, and tap Add score — results go live on the Event page automatically.

  • Enable from Schedule → Export, copy the invite link, send it to site directors.
  • Sort picker: Venue, Date, Court, Time — built for busy gym floors.
  • Add score / Edit score like the Bracket view; saving publishes the public Event page.
  • Optionally Pull into admin to sync scores into brackets without sharing admin seats.

Import

Upload the team export and court grid you already have. Teams, blackouts, coaches, and venue priorities land as constraints — late entries add by hand.

  • CSV or Excel from TazForm / registration platforms, or a simple template from scratch.
  • Conflict comments parse into blackouts and play windows generate will honor.
  • Venue season grids expand into on-the-hour court slots, including split days and noon closures.
  • Late entries by hand after import — saving clears the slate so you can Generate again with new locks.

Leagues

On-the-hour blocks that hit games-per-team without two dark weeks — rematch caps, coach conflicts, venue priorities, and youth hours in one pass.

  • Games land only on the days and courts you uploaded.
  • Fairness first: even game counts, then rematch soft caps, then density.
  • U12 hours, coach locks, and venue-priority columns stay hard when you lock them.
  • Same-day limits and rematch rules stay soft until Hail Mary — never a fourth rematch.

Tournaments

Pool play and knockouts plotted onto uploaded courts — formats by division size, basketball pool-to-bracket, championships seated first.

  • Pool-and-knockout shapes from division team count, including multi-division events.
  • Basketball: preferred pool size, advance count, game guarantee, and consolation onto the same courts.
  • Seat last-day finals first, pack pool play earlier, then advance in place with scores and standings.
  • Unfilled knockout sides keep placeholder labels until teams are known.

Conflicts

Name the leftover, then Pack / Fill remaining, Hail Mary, or drag onto an Available cell. Locks stay put across regenerate.

  • Named conflict audit — coach overlap, overlapping starts, venue-hour violations — not a wall of warnings.
  • Fill remaining one-hops scheduled games when needed; Hail Mary runs deeper move chains.
  • Coach lock, venue lock, and pinned games survive Fill remaining, Hail Mary, and drag.
  • Conflict-audit PDF for binders before you publish.

Venues

Courts as they really are that day — session grids or slot lists, mid-day closures, and append-later inventory without wiping placed games.

  • Session workbook or one-row-per-slot list expands into hour cells.
  • Availability is per hour, so a noon Sunday close is enforced as closed.
  • Add newly available court time after the schedule is built — new open cells appear for Pack and Hail Mary.
  • Venue priorities from import (1 = best, 0 = never) with optional venue lock on By team.

Public Event page

One event home for divisions, team finder, championship brackets, venue addresses, live scores, and optional Buy Tickets / Shop — families need no account.

  • Copy the Event page link from Schedule → Export; update scores and the public page refreshes.
  • Division pages show pools, standings, and a real bracket tree when you run knockouts.
  • Team logos, street addresses, and optional TazTix / TazCart links from Setup.
  • Live scores from admin or the Site Director portal — no Sunday-night PDF re-export.

Export and print

CSV, Excel, printable PDFs, blank scoresheets, and a conflict-audit before you send the weekend to coaches and gate staff.

  • Spreadsheet layouts for the platforms you already publish with — plus Exposure game-import CSV when you hand off elsewhere.
  • Division schedule PDF, venue (gate) and per-court wall sheets, blank scoresheets per tip.
  • When coaches submit rosters, scoresheets print player name and jersey automatically.
  • Conflict-audit PDF lists remaining blackout, play-window, and venue-ban issues.

Beyond the big surfaces: rest, exclusions, sport defaults, standings, scoped repair, and Suite — the extras directors reach for after the slate is up.

  • Rest windows that stay hard

    Set minimum and maximum rest between tips. Min rest and blackouts stay hard through Pack and Hail Mary; max rest may bend only on Hail Mary when the slate demands it.

  • Same-time team exclusions

    Keep linked or sibling squads from tipping at the same hour across courts — generate and repair honor the exclusion list.

  • Home / away balance

    Prefer even home and away counts when venue priorities allow, so the season does not strand the same teams on the road.

  • Late-game next-day delay

    A late tip automatically pushes that team’s earliest start the next morning — built for multi-day weekends.

  • Game duration override

    Override tip length per competition when a division needs longer or shorter slots than the event default.

  • Sport profiles

    Basketball, futsal, and volleyball defaults for rest, formats, and copy — without rebuilding Setup from scratch.

  • Standings that match the floor

    Pool standings with W-L-T and point differential for basketball; advance knockouts in place as scores land.

  • Scoped unschedule

    Clear one division or pool without wiping the whole weekend — then regenerate or Pack only what you need.

Backup and restore

Download Friday’s slate before you Hail Mary. Restore if Saturday’s experiment looked worse.

  • JSON backup of teams, venues, locks, and the current slate.
  • Restore to compare two structures or walk back an aggressive regenerate.
  • Locks and pinned games survive Generate, Pack, and Hail Mary when you have locked them.
