Privacy Policy

How TazSchedule handles personal information for organizers, coaches, players named in a competition, and visitors to public schedules.

This Privacy Policy explains how TazSchedule handles personal information for people who visit tazschedule.com, create an organization account, import a roster, generate a schedule, or open a public competition page. TazSchedule is league and tournament scheduling software in the Tixoola product family.

In this policy, TazSchedule, we, us, and our mean the operator of tazschedule.com and the admin console we host. You means any person who uses those sites.

This is a working policy posted so organizers, coaches, and families can see our current practices. Counsel should still review entity name, a dedicated privacy email, and any data-processing addendum before you treat this as a final legal notice. It is not legal advice. The Terms of Service are a separate contract. Questions can be emailed to [email protected].

Who we are

TazSchedule is software for club, league, and tournament directors who schedule court and field sports. Related products in the suite include events, ticketing, fundraising, CRM, commerce, and forms.

If you open a public schedule link, you are usually interacting with both TazSchedule (the platform) and the organization that published that competition.

Scope and roles

TazSchedule as a business (controller). We decide how to collect and use information about people who visit tazschedule.com, request a demo, create an organization account, sign in as an administrator, or contact sales. That includes billing contacts and how the admin product is used.

Organizations as competition operators (controller); TazSchedule as processor. When a club runs a league or tournament on TazSchedule, that organization is responsible for the roster: who is listed as a team, coach, or contact, what appears on public schedule pages, and how those records are used after export. We process that information on the organization's instructions to generate, repair, share, and export the slate.

If you are named on a public schedule, the organization running that competition is the primary party to contact about that record. We can help route a request, but the organizer usually has the context to fulfill it.

Information we collect

Organizers and account holders. When you create an organization or location, request a demo, or contact us, we collect name, email, phone, organization name, role, address, public subdomain, password, and any message you send. Administrators sign in through Auth0. We also store competition settings, imported files, locks, and records of how the account is used.

Teams, coaches, and players named in a competition. Organizations import or enter team names, divisions, coach names, conflict dates, linked teams, venue priorities, and similar scheduling constraints — often from HTG, TazForm, or another registration export. Rosters for youth sports frequently include minors' first names or team names. We store that information to generate and repair the schedule.

Public-schedule visitors. Opening a share link does not require an account. We may collect IP address, browser type, and diagnostic logs the same way most websites do.

Payment information. Card numbers for TazSchedule subscriptions are entered on Stripe's hosted form. Full card numbers do not pass through TazSchedule's application. We receive tokens, last-four digits, and similar metadata needed to bill the organization.

Device, usage, and security data. IP address, browser and device type, pages viewed, referring URL, timestamps, and diagnostic logs. Signup and demo forms may use Cloudflare Turnstile. Address fields may send what you type to an address-suggestion service. Optional AI conflict briefs send schedule context to the model provider we use (currently Azure AI Foundry) when an administrator asks for them.

How we use information

We use personal information to:

  • Provide, operate, and improve TazSchedule, including import, generate, conflict audit, public schedules, and export.
  • Create accounts, authenticate users, keep sessions, and protect against fraud, spam, and unauthorized access.
  • Process organization subscription payments through Stripe.
  • Send service messages: billing notices, invites, and product changes that affect an account.
  • Respond to sales, support, and demo or pricing requests.
  • Comply with law, enforce our terms, and protect TazSchedule and organizations.

We do not sell roster lists, and we do not use competition data to market unrelated third-party products.

How we share information

  • With the organization running the competition. Organizers and their authorized admins see the roster, conflicts, and slate. That is the point of the product.
  • On public schedule pages, when the organization publishes them. Team names, coaches, times, courts, scores, and standings may appear on a share link. Do not expect a published schedule to be private in the way a closed spreadsheet is private.
  • With service providers. We use vendors to host the product (currently Microsoft Azure in the United States), authenticate administrators (Auth0), process subscription payments (Stripe), reduce bot traffic (Cloudflare Turnstile), suggest addresses, send email, and operate related Tixoola suite products. These providers may use the information only to perform services for us or the organization.
  • Across the Tixoola suite, when an organization uses more than one product. Organization and location records may be shared with related products so a group is not forced to recreate the same account in each tool.
  • For legal reasons. We may disclose information if we believe it is required by law or to protect rights, safety, or the integrity of the service.
  • In a business transfer. If we sell, merge, or reorganize, information may transfer as part of that transaction, still subject to this policy or a successor notice.

Public schedule pages

Each competition can publish a public page and per-division pages. Anyone with the link can see games, scores, and standings. Organizations are responsible for what they publish and for telling families that the schedule is public.

Cookies and similar technologies

We use cookies and similar storage to run the product, not to build an advertising profile of people who merely browse tazschedule.com.

  • Essential cookies. These keep you signed in to admin (Auth0) and remember a theme preference. Without them the admin product cannot function.
  • Security. Cloudflare Turnstile and similar checks run on signup and demo forms to tell humans from bots.

You can block cookies in your browser. If you do, sign-in may stop working.

AI features

Administrators can ask TazSchedule for an optional conflict-analysis brief. Those requests are sent to the model provider we use (currently Azure AI Foundry) to generate a response. We use this to help directors review a slate, not to train a public model on roster files as a business purpose.

Do not paste government IDs or other sensitive data into an AI assist field. Organizers remain responsible for reviewing anything the model drafts before they act on it.

Children and youth programs

TazSchedule accounts and admin access are intended for adults acting for an organization. We do not knowingly allow a child under 13 to create a platform account.

Most customers are youth clubs. Those organizations may list minors as players or on team names so a public schedule can be shared with families. The organization is responsible for having the authority to do that, for limiting what they publish, and for handling parent requests. If you believe we have an account for a child under 13, or a schedule is exposing more about a child than it should, email [email protected] and we will work with the organization to correct it.

How long we keep information

  • Account and billing records for the life of the organization account, and for a period afterward as needed for invoices, disputes, and tax or processor requirements.
  • Competition, roster, and schedule records for as long as the organization retains the competition, including backups they download.
  • Marketing leads until they are worked, declined, or you ask us to delete them.
  • Security logs for a shorter operational window unless we need them to investigate an incident.

When an organization closes its account, we delete or de-identify personal information we hold solely as their processor, except where we must keep a copy (for example, a completed payment or a legal hold). Backup systems may take additional time to cycle.

Security

We use administrative, technical, and physical safeguards appropriate to a hosted scheduling product: encrypted transport (HTTPS), access-controlled admin sign-in, tenant isolation by organization and location, and card data handled by PCI-certified processors rather than by TazSchedule. No method of transmission or storage is perfectly secure. Organizers should use unique passwords, limit who has admin access, and treat exported rosters as confidential.

Where information is stored

TazSchedule is hosted in the United States (Azure and related services). If you access the product from another country, your information is processed in the United States.

Your rights and choices

Depending on where you live, you may have the right to know what personal information we have, to access or correct it, to delete it, to export it, or to appeal a decision. We will not discriminate against you for exercising a privacy right.

If you are named on a public schedule. Ask the organization first — they control the roster. If you cannot reach them, contact us with the schedule URL, your email, and what you want changed. We may need to verify it is you.

If you are an organizer. Most account information can be updated in admin. For deletion of an organization, contact us.

Changes to this policy

We may update this policy. The "Last updated" date at the top of the page will change. Material changes will be posted here. Continued use of the service after an update means you acknowledge the revised policy.
