Team Participation Waiver

Hold-harmless terms coaches accept when claiming a team and saving a roster through the coach portal — covering directors, facilities, staff, and officials for any sport.

This Team Participation Waiver (Waiver) applies when a coach or authorized team representative claims a team and submits roster or staff information through the TazSchedule coach portal for a league, tournament, showcase, or similar event (Event).

TazSchedule is scheduling software. It does not operate your Event. The organization that published the coach invite — including any tournament director, league director, club, association, or other event operator (Event Operator) — runs the Event. By checking the box and saving a roster, you agree to this Waiver on behalf of yourself, your coaching staff, your team, and the players and parents or guardians named on that roster.

This is a working document posted so Event Operators and coaches have a clear, sport-agnostic baseline. It is not legal advice. Individual Event Operators may also require their own forms. If you do not agree, do not claim a team or save a roster.

1. Who is covered

You means the person signing in to the coach portal, plus anyone you list as head coach, assistant coach, or scorekeeper, and each player and parent or guardian named on the roster you submit.

Released Parties means, to the fullest extent allowed by law:

  • The Event Operator and its owners, officers, directors, employees, volunteers, contractors, and agents.
  • Tournament or league directors and any assistant directors for the Event.
  • Facilities, venues, schools, parks, municipalities, and property owners or managers where games, practices, warmups, or Event activities occur, and their staff.
  • Game officials, referees, umpires, scorekeepers provided by the Event, athletic trainers, and medical volunteers acting for the Event.
  • Sponsors, host clubs, and partner organizations invited by the Event Operator to support the Event.
  • TazSchedule and its operators, solely to the extent they host the coach portal, roster tools, or related software used for the Event.

2. Assumption of risk

Athletic Events involve inherent risks. Those risks include, without limitation, collisions, falls, overexertion, equipment failure, uneven surfaces, weather, travel to and from venues, and contact with other participants, officials, or spectators. Risks exist for every sport and age group, including basketball, volleyball, soccer, futsal, and other court or field sports.

You understand that injuries — including serious injury, permanent disability, or death — and property loss can occur even when Released Parties act carefully. You voluntarily assume all such risks for yourself and for every minor player you list, on behalf of that player’s parent or legal guardian to the extent you are authorized to do so.

3. Release and hold harmless

To the maximum extent permitted by applicable law, you release, waive, discharge, and agree not to sue the Released Parties for any claim, demand, loss, damage, cost, or expense (including reasonable attorneys’ fees) arising out of or related to participation in the Event, presence at Event facilities, travel connected to the Event, or use of Event-related services — whether based on negligence (active or passive), premises liability, or any other theory — except to the extent a claim cannot be waived under applicable law (for example, claims based on gross negligence or intentional misconduct where such a waiver is prohibited).

You also agree to defend, indemnify, and hold the Released Parties harmless from claims brought by or on behalf of your team’s players, parents, guardians, guests, or staff arising from your team’s participation, your roster submission, or your failure to obtain required consents.

4. Authority, medical, and conduct

You represent that:

  • You are authorized to claim this team and to bind the team organization and the parents or guardians of listed players to this Waiver.
  • Roster and contact information you submit is accurate, and you have permission to share it with the Event Operator for Event operations.
  • Players are physically able to participate, and you will follow Event rules on eligibility, age, and safety.
  • In a medical emergency, Event staff or medical volunteers may secure treatment for a participant when a parent or guardian cannot be reached promptly, and you release Released Parties from liability for good-faith emergency care decisions except where prohibited by law.
  • Your team will follow facility rules, Event codes of conduct, and directions from directors and officials.

5. Software and Event Operator role

TazSchedule provides tools to collect claims, rosters, and this acceptance. Acceptance is stored for the Event Operator’s records. Scheduling software does not create an employment, agency, or joint-venture relationship between TazSchedule and the Event Operator, facilities, or officials. Game results, placements, rules interpretations, and on-site decisions remain solely with the Event Operator and officials.

6. Electronic acceptance

Checking the waiver box and saving the roster is your electronic signature. It has the same effect as a handwritten signature. The portal may record the Waiver version, timestamp, and the email of the signed-in coach. You must accept the current Waiver before a roster can be saved. If the Waiver version changes, you may be asked to accept again.

7. Severability and governing law

If any part of this Waiver is found unenforceable, the remaining parts stay in effect. Where local law limits releases for certain claims, this Waiver is narrowed only as required. Except where the Event Operator’s own posted rules specify otherwise, disputes relating to this Waiver are governed by the laws of the state or jurisdiction where the Event Operator principally operates the Event, without regard to conflict-of-law rules.
